Appointments
Bookings with reminders that actually arrive.
WACRM books appointments against a contact and sends WhatsApp reminders before each one — 24 hours and 1 hour ahead by default. The AI chatbot can book them mid-conversation. Reminders are timezone-correct, and reschedules move the reminders with the booking.
How it works
- 1
Book it
From the Appointments page, from an automation, or by the AI chatbot while it is talking to the customer — all three behave identically.
- 2
Reminders are scheduled with it
A ladder of reminders is planned at booking time, formatted in the appointment’s timezone so a 12:00 slot reads as 12:00.
- 3
Changes keep up
Rescheduling moves the pending reminders and rewrites them with the new time. Cancelling stops them. A reminder more than two hours late is dropped rather than sent about a visit that has already happened.
The specifics
- Booked and confirmed are both automation triggers.
- Reminders go out as free text inside the 24-hour window, and automatically as an approved template outside it — WACRM submits that template to your WhatsApp account for you.
- Reminder offsets are configurable per booking.
- Overlapping sweeps cannot double-send: each reminder is claimed before it is sent.
- There is no customer-facing booking page yet — appointments are created by you, an automation, or the chatbot, not by the customer picking a slot on a web page.
Questions people ask
- Can the AI book appointments?
- Yes. Booking is one of the chatbot’s tools, so it can agree a time with the customer and create the appointment without a human stepping in.
- Will reminders reach customers who have not messaged recently?
- Yes. WhatsApp blocks free text outside 24 hours, so WACRM sends those reminders as an approved template instead — the template is submitted to your account automatically the first time you book.
- What happens if I reschedule?
- Pending reminders move with the appointment and are rewritten with the new time. Already-sent reminders are left alone as history.
